The challenge

As Rezio scaled, its marketing and sales teams needed a way to manage leads efficiently and reach the right prospects at the right times, without overspending on channels that don't convert.

On the CRM side, lead data was scattered across individual team members' personal folders and local files. There was no single source of truth, and collaboration across the sales team was limited.

On the marketing side, Rezio tried Google keyword advertising and Facebook advertising, but found that the cost per lead was high and lead quality was often poor. The team needed a more targeted, cost-effective way to reach tour operators: a niche B2B audience that responds better to trusted, consistent communication than broad-reach digital ads.

Their previous email marketing tool, SendGrid, made content creation more cumbersome than it needed to be, slowing down the team's ability to produce and send campaigns efficiently.

The solution

Rezio adopted Zoho CRM to centralize lead management across its sales team. On the marketing side, Fifi (Rezio's Marketing Lead) migrated from SendGrid to Zoho Campaigns to take advantage of a more intuitive content creation experience and tighter integration with their CRM data.

The team uses a targeted email-first strategy, building its own database of tour operator contacts and reaching out through regular, well-crafted campaigns, rather than relying on expensive paid acquisition.

For Rezio, email is the most effective channel for engaging their B2B audience. Tour operators and activity providers are professional buyers who prefer considered, content-rich communication over social ads or SMS. Fifi's team sends campaigns twice a week, focusing on:

    "We currently segment our audience into two main categories: English and Mandarin," Fifi says. "When sending identical content, the open and click rates are quite similar between the two, with no noticeable differences. We have observed a slight decline in engagement (around 3%) from the same contact lists over a six to 12-month period. However, because our lists consist of highly targeted travel industry professionals, this minor drop hasn't negatively impacted our overall performance. That said, continuously sourcing new top-of-funnel leads remains one of our most critical ongoing tasks."

Rather than investing in ultra-designed, image-heavy emails, Rezio takes a deliberate text-forward approach.     Leads captured in Zoho CRM are exported and imported into Zoho Campaigns, where they are segmented and activated for email outreach. This workflow gives Rezio's marketing team a clean, owned audience to work with — built from real prospect interactions rather than purchased lists.

    The initial sync between CRM and Campaigns required some effort to set up. With guidance from their implementation partner, the team now follows documented best practices that make the data handoff more reliable and less manual.

Because we are constantly injecting new leads into our database, we actually don't focus too heavily on unsubscribe rates."

    Rezio maintains that email is their most effective channel for reaching potential B2B customers. "Our focus remains firmly on maintaining a healthy volume of top-of-funnel leads, stabilizing our open rates, and optimizing our click-through rates using the platform. When I previously used SendGrid, I was working alongside product PMs and we weren't integrating it closely with a CRM. However, I can definitely say that Zoho Campaigns is incredibly intuitive. The basic templates are lovely and very beginner-friendly, and the reporting features are clean and easy to navigate," says Fifi.

    Looking forward​

    Rezio's marketing team is actively exploring automation within Zoho Campaigns to reduce the manual effort of recurring sends and enable more timely, triggered outreach. The team has not yet implemented A/B testing or advanced automations, but has identified these as areas of interest for the near future.
