Esyasoft is a fast-growing organization operating in the energy domain, with expertise in smart metering, power grid technologies, and e-mobility solutions. Founded in 2014 in Bengaluru and now headquartered in Abu Dhabi, the company has expanded its presence across 12 countries. Within India, Esyasoft operates from 10 locations and has grown from nearly 120 employees in 2023 to over 800 employees today.

The challenge

As the organization scaled rapidly, managing HR operations manually became increasingly difficult. Core processes like attendance tracking, leave management, recruitment coordination, onboarding, and performance reviews were handled through emails, spreadsheets, calls, and messaging platforms.

This lack of centralized visibility created operational inefficiencies and made it tough for HR teams to maintain consistency across locations. Recruitment tracking, approval workflows, employee data accuracy, and project allocation management were becoming more complex as the workforce expanded.

The organization needed a scalable HR platform that could streamline operations, improve transparency, and support long-term growth.

The solution

Esyasoft implemented Zoho People and Zoho Recruit to streamline recruitment and core HR processes.

The company leveraged the platforms for recruitment, attendance and leave management, performance management, expense workflows, rewards and recognition, workflow automation, and project allocation tracking. According to Gaurav, the flexibility and ease of customization within Zoho helped the organization adapt the platform to its evolving business requirements without major implementation challenges.

Implementation and adoption

The HR team adopted a phased implementation approach to ensure smooth transition and user adoption. The initial focus was on digitizing attendance and leave management, which had previously been managed manually.

The mobile-first experience played a key role in driving employee adoption, especially among younger employees who preferred managing requests through their phones. Over time, the organization expanded usage into performance reviews, expense approvals, recruitment workflows, and employee recognition programs.

Despite the natural resistance that accompanies any organizational change, employees gradually embraced the platform due to the increased transparency, accessibility, and ease of use it offered. “The phased approach worked well because we introduced processes gradually while ensuring employees became comfortable with the system,” Gaurav explained.

Key use cases

One of the biggest transformations came through recruitment management using Zoho Recruit. Previously, hiring requests came through multiple channels with little centralized visibility. By standardizing recruitment workflows within the system, leadership teams gained real-time visibility into open positions, hiring demand, and candidate progress. The recruitment team also automated interview scheduling, candidate communication, and interview feedback collection, significantly reducing manual coordination effort.

The organization streamlined workforce allocation tracking through Zoho People. Since employees often worked across multiple projects and customer locations, managers previously relied on spreadsheets to manage project assignments. With Zoho, managers can now assign primary and secondary projects directly within the platform, improving workforce visibility and planning.

Several HR workflows were automated as well, including reporting manager changes, probation reminders, location changes, and approval notifications. This helped reduce manual follow-ups while improving process consistency across teams and locations.
