Introduction:
A project scope document is a detailed summary of any digital transformation or digital enhancement project that you undertake for a Zoho customer. This document should include a detailed overview of the project, the scope, goals, deliverables, objectives, methods, what you set out to achieve, and how it is intended to transform a customer's business. The process of building a scope document should begin before the project is in motion and can undergo ongoing changes as the project progresses.
How does it help to document your projects as a Zoho Consulting Partner?
Project scope document for partner tier evaluation: For every project scope document that you submit on the Partner Store and gets approved by the corresponding Partner Account Manager, you gain 10 points, up to a maximum of 50 points (for 5 projects).
Project scope document for partner profile: Not just that, your industry expertise and third-party integration capability information (displayed on the Profile page on Zoho Partner Directory) is tracked and picked from the case studies and projects submitted that you submit.
How is a project scope document different from a case study?
A case study is story-driven, drafted after a project is completed, and documents the solutions involved, the results of an implementation, along with the process, challenges, and the like. This is often aimed at a prospective customer and developed for marketing and promotional purposes.
A project document, on the other hand, is a detailed, technical documentation that is drafted before the project begins and updated as an ongoing until the project is completed. A project document outlines the scope of the project, the objectives, timelines, resources, risk management strategies, timeline, business impact, and the like. A project document is developed for internal teams and stakeholders to guide them through the execution of the project.
Project Pre-requisites
The complete authority to approve or reject your project documentation rests with your Partner Account Manager. They might reject your project documentation for the following reasons -
- Should not have been submitted previously for evaluation
- The customer mentioned in the project scope document must be mapped to you for the specified Zoho service.
- Must adhere to the suggested project guideline document

Kindly adhere to this format while developing a project document to be eligible for submission on the Partner Store.
1. A Title card
- An appropriate title for the project
- Clearly define the customer's business name and your name
- Add logos for better credibility
2.Introduction
A brief introduction about the partner company and the customer business. Make sure to clearly state the customer's background - their industry, size, key operations, and the like.
3.Customer background
Give a brief description about what the customer organization does and their business processes.
4.Project Background
Define the basic type of product. This is based on the services you may have provided to the customer - implementation, solutioning, integration, and the like.
5.Duration of the project
Add the start date and end date.
6. Problem Statement
Explain, in-detail, the problem that the customer business was experiencing and what you were setting out to solve through this project.
7.Statement of Work
The agreed-upon statement of work that was drawn up before delving into the project.
8. Deliverables
Clearly state the deliverables that were promised to the customer and the timeframe that is agreed upon.
9. Solution Overview
Add details about the Zoho solutions that were used to solve each of the specific problems defined above.
10.Third-party integrations
Did this project require you to integrate Zoho's solutions with any third-party tools? Explain in detail.
11. Outcomes
What were the outcome at the end of the project? Did it have the desired impact? Define.
12. Business Impact
How did the above outcomes influence the customer's business positively. bonus if you have stats to back your claim.
13. Zoho Team Involved (if applicable)
Expand on the involvement from the Zoho team if you had reached out to them for assistance.

How to submit your project scope document for evaluation
Step 1: Login to your Zoho Store account.
Step 2: From the navigation tab on the left-hand side, click "Projects View" from the "Partner Company" drop-down menu.
Step 3: Click "Add Projects"
Step 4: In the Project Details box, enter the Customer Super Admin email ID associated with the customer account and select the Zoho service associated to the project. Click "Proceed".
Note: If the customer email ID and service you have entered are not mapped to your partner account, you will not be allowed to proceed.
Step 5: If the provided customer account is mapped to your partner account for the specified product, you will be able to access the subsequent fields like shown below. Fill up the mandatory fields, upload the scope document, and click "Submit."
Once you've submitted your project, the respective PAM will approve or reject it based on the above mentioned criteria. IN either of these cases, you will receive an email notification with an update along with the reason for rejection (in case it gets rejected). Note: Once a Project Scope Document has been submitted, it cannot be resubmitted.
