Sync third-party calendars in Zoho Calendar

Zoho Calendar lets you connect external calendar accounts so all your events are visible in one place. You can sync calendars from GoogleCalendar, Microsoft Outlook, and Calendly — keeping your schedule unified without switching between apps.

Note

  • The third-party calendar sync feature is available only for the organization users who have subscribed to one of the paid plans of Zoho Mail, Zoho Workplace, or Zoho One.
  • This feature is being rolled out in phases. If it is not yet available for your organization, please contact our support team to have it enabled.

Prerequisites

Before connecting an external calendar account, make sure you have the following:

  • An active Zoho Calendar account
  • Valid login credentials for the external calendar account you want to connect
  • The necessary permissions to authorize third-party app access on your Google, Microsoft, or Calendly account

How third-party calendar sync works in Zoho Calendar

When you connect an external calendar account, Zoho Calendar establishes a secure connection using the third-party platform's authorization protocol. Once authorized, Zoho Calendar periodically checks for new or updated events and reflects them in your calendar view.

Depending on the integration, sync can be one-way (events flow into Zoho Calendar only) or two-way (changes made in either calendar are reflected in both). Event data such as title, date, time, and description is carried over during each sync cycle.

Troubleshooting 

If your sync is not working as expected, the following common issues may help.

Events not appearing after setup

Check that the correct permissions were granted during account authorization. Try disconnecting and reconnecting the account.

Sync stopped updating

Manually refresh the sync from settings. If the issue persists, disconnect and reconnect the account.

Limitations and considerations 

  • You can configure only one external account each for Google Calendar, Outlook Calendar, and Calendly in Zoho Calendar..
  • Reminders and attachments from connected calendars are not carried over during sync.
  • Calendly sync is read-only. Events cannot be created or edited in Calendly from within Zoho Calendar.

To disconnect a synced calendar account, go to Settings, select Multi Calendar Accounts, and choose the account you want to remove. Select Disconnect to stop the sync. Your Zoho Calendar events will not be affected.
