Bring Your Own Key (BYOK) for third party AI integration in Zoho Mail
Bring Your Own Key (BYOK) approach lets you provide your own API key from a third party AI provider (like GPT or Gemini) directly to a host application. This enables the host application's AI features while giving you full control over which AI provider and key are used. In practice, you sign-up with the AI provider and generate your own API key. Use this generated API key into the host application's integration panel. Now whenever you use an AI-powered feature, the app uses your own key to call the AI provider.
Here, Zoho Mail is your host application. As an admin, BYOK method lets you manage the API keys for the configured AI tools in Zoho Mail's Admin Console, allowing secure protection against your organization's mailboxes. It helps you to revoke keys and instantly block access during any breaches, insider threats, or investigations.
You can configure multiple AI tools for your organization and choose the default one for smooth AI interactions.

While using the AI features mentioned below, your organization's data and email content may be shared to an external third party based on the features selected during configuration.
- Mail Preferences
- Auto-complete sentences - Contextual data based on the type of sentence the user writes will get shared to the AI provider.
- Generate email content - Brief of the email content provided will be shared to the AI provider.
- Summarize email - Entire email conversation will be shared.
- Smart auto-reply - Content of the email will be shared to provide AI generated suggestions for auto-reply.
- Calendar Preferences
- Create Event with Natural Language Input - Natural language given by users will be shared.
- AI-Powered Event Title Suggestions - Contextual Calendar event titles will be shared to the AI provider.
- AI-Powered Event Description Generation - Brief of the Calendar event being created will be shared to the AI provider.
The liability for data shared to any external third party thus lies with the organization's administrator since the configuration of these AI providers is done from the Admin Console.
Contact Enrichment
Contact Enrichment is the process of automatically boosting your contact list with verified information like job titles, phone numbers, social profiles, and company details by pulling data from social networks and trusted sources without any manual effort. It transforms sparse, half-filled contact entries into rich, accurate profiles which gives you a full view of who your audience really is.
With this enriched data, you can have up-to-date context for each contact that helps you to personalize outreach, target the right people, and connect meaningfully.
